Position Overview:

The Front Desk Receptionist at Hootan Zandifar, MD is far more than an administrative role — it is the heartbeat of our patient experience. As the very first point of contact, you set the tone for every visit, every phone call, and every interaction a patient has with our practice. You are the ambassador of the Zandifar MD brand, and your warmth, polish, and professionalism are what make patients feel seen, valued, and confident in their decision to entrust their face to us.

In this full-time position, you will be responsible for the seamless orchestration of our front office operations, working in close collaboration with Dr. Zandifar, Dr. Deot, and our clinical team across both surgical and non-surgical service lines. You will manage a high volume of consult inquiries, surgical and non-surgical bookings, and in-person interactions — all while upholding the elite, discreet, and concierge-level experience our patients expect.

Key Responsibilities:

Create and deliver the elite Zandifar MD experience — ensuring every patient feels welcomed, valued, and cared for from the moment they arrive to the moment they leave.
Greet and welcome patients in a warm, professional, and discreet manner befitting a Beverly Hills surgical practice.
Answer and direct incoming phone calls, respond to voicemails, and reply to patient inquiries via phone and email with promptness and polish.
Schedule, confirm, and manage surgical consultations, pre-op visits, post-op visits, and non-surgical appointments across both office locations.
Coordinate complex surgical scheduling — including OR booking, pre-surgical clearances, and pre-op packet distribution — in partnership with the surgical coordinator and clinical team.
Accurately collect and process patient intake forms, medical history, photo consent, surgical consent, and insurance information.
Handle patient check-in and check-out procedures, including payment processing, deposit collection on surgical bookings, and receipt management.
Maintain a clean, organized, and always inviting reception area, in keeping with the upscale environment of the practice.
Communicate effectively with Dr. Zandifar, Dr. Deot, surgical coordinators, and the clinical team to ensure smooth patient flow throughout the day.
Follow up with patients regarding upcoming appointments, pre- and post-operative care reminders, and any practice communications.
Manage office supply inventory and coordinate orders as needed.
Uphold strict patient confidentiality and adhere to HIPAA guidelines at all times.
Support general administrative duties including filing, data entry, scanning, and chart management within the EMR.
Assist with other front office tasks as assigned by the practice manager, surgical coordinator, or lead clinician.

Qualifications & Requirements:

Required:

High school diploma or GED required; associate’s or bachelor’s degree a plus.
1–2 years of front desk, receptionist, or customer service experience (facial plastic surgery, plastic surgery, ENT, medical spa, or aesthetic practice strongly preferred).
Excellent verbal and written communication skills with a polished, professional demeanor appropriate for a high-end surgical practice.
Strong organizational skills and ability to multitask gracefully in a fast-paced, multi-location environment.
Proficiency with scheduling software, Microsoft Office, and general computer skills.
Reliable, punctual, and team-oriented with a positive, can-do attitude.
Discretion and maturity — our patient population includes executives, public figures, and high-profile clientele.
Passion for aesthetics, surgery, and delivering an exceptional patient experience.

Preferred:

Experience with practice management or EMR software such as Nextech, PatientNow, Modernizing Medicine, Zenoti.
Working knowledge of facial plastic surgery procedures (rhinoplasty, facelift, blepharoplasty) and / or non-surgical aesthetics (Botox, fillers, lasers).
Familiarity with insurance verification for ENT / functional procedures (septoplasty, sinus surgery).
Bilingual abilities (Farsi, Spanish, or other) a plus.
Experience handling HIPAA-compliant documentation, surgical consents, and clinical photography records.

Competitive hourly pay: $20–$25/hour depending on experience
Full-time schedule: Monday–Friday, 9:00 AM – 5:30 PM (plus one Saturday per month as needed).
