We are looking for a passionate, polished Front Desk / Medical Assistant to be the welcoming face of our growing practice and help us deliver on that vision every single day.
Position Overview:
The Front Desk / Medical Assistant at Skintight Aesthetics is far more than an administrative role — it is the heartbeat of our client experience. As the very first point of contact, you set the tone for every visit, every phone call, and every interaction that a client has with our practice. You are the ambassador of the Skintight brand, and your energy, warmth, and professionalism are what make clients feel seen, valued, and excited to return.
In this full-time position, you will be responsible for the seamless orchestration of our front office operations while also assisting our providers with patient care and aesthetic treatments. You will work in close collaboration with our team of 5+ dedicated providers across both non-surgical aesthetics and facial plastic surgery.
You will manage a high volume of client inquiries, bookings, and in-person interactions while also assisting with patient preparation, treatment rooms, procedures, and other Medical Assistant responsibilities — all while upholding the luxury, precision, and care that define the Skintight experience.

Key Responsibilities:
Front Desk & Client Experience:
- Create and deliver the premium Skintight Experience — ensuring every client feels welcomed, valued, and cared for from the moment they arrive to the moment they leave.
- Greet and welcome clients in a warm, professional, and attentive manner.
- Answer and direct incoming phone calls, respond to voicemails, and reply to client inquiries via phone and email.
- Schedule, confirm, and manage client appointments using our booking system; coordinate laser appointments via phone per scheduling protocols.
- Accurately collect and process patient intake forms, consent forms, and insurance information.
- Handle client check-in and check-out procedures including payment processing and receipt management.
- Maintain a clean, organized, and inviting reception area at all times.
- Communicate effectively with the clinical team to ensure smooth patient flow throughout the day.
- Follow up with clients regarding upcoming appointments, post-treatment care reminders, and promotional offerings.
- Manage office supply inventory and coordinate orders as needed.
- Uphold strict client confidentiality and adhere to HIPAA guidelines.
- Support general administrative duties including filing, data entry, and record management.
- Assist with other front office tasks as assigned by the practice manager or lead clinician.
Medical Assistant Responsibilities:
- Prepare treatment rooms and ensure they are clean, stocked, and ready for each patient.
- Prepare patients for appointments and aesthetic treatments.
- Assist providers with aesthetic procedures and treatments as directed.
- Take and document vital signs when applicable.
- Assist with patient intake, medical history, and treatment documentation.
- Prepare supplies and equipment for procedures.
- Assist with patient photographs and treatment preparation.
- Assist providers with maintaining an efficient patient flow.
- Provide post-treatment instructions as directed by the provider.
- Clean, sanitize, and reset treatment rooms between patients.
- Monitor clinical supplies and communicate when supplies need to be reordered.
- Follow all office safety, sanitation, infection-control, and HIPAA protocols.
- Maintain accurate and timely patient records.
- Assist with other Medical Assistant duties as assigned by the provider or practice manager.
Qualifications & Requirements:
Required:
- High school diploma or GED required; associate's or bachelor's degree a plus.
- 1–2 years of front desk, receptionist, or customer service experience (medical spa, aesthetic clinic, or healthcare setting strongly preferred).
- Excellent verbal and written communication skills with a polished, professional demeanor.
- Strong organizational skills and ability to multitask in a fast-paced environment.
- Proficiency with scheduling software, Microsoft Office, and general computer skills.
- Reliable, punctual, and team-oriented with a positive attitude.
- Passion for aesthetics, wellness, and delivering exceptional client experiences.
Preferred:
- Experience with practice management software such as Zenoti, Nextech, or PatientNow is strongly preferred.
- Knowledge of cosmetic treatments such as injectables, laser services, or skincare.
- Bilingual abilities are a plus.
- Experience handling HIPAA-compliant documentation and patient records.
What We Offer:
- Competitive hourly pay: $20–$25/hour depending on experience.
- Full-time schedule: Monday–Friday, 9:00AM–5:30PM, (plus one Saturday per month).
